How to maximise the value of your event images.

As corporate event photographers, we invest significant time and effort to capture high‑impact images for our clients. Clients also often invest heavily in these visuals, so it’s important to maximise their value - especially if you run only one or two events a year.

Here are practical tips to help you get the greatest return on investment from professionally produced event imagery.

Tip 1 - Save a copy of the images to your own network

This may seem obvious, but from time to time clients ask us for images we shot years earlier only to discover we’ve already deleted them. We typically retain images for 12 months. Because modern files are extremely large, keeping every image forever is prohibitively expensive, so we must have a clear retention policy.

If you can’t locate the files on your side, it can be devastating to learn the images are no longer available. For that reason we strongly recommend that, as soon as you receive your images, you download and safely store a full copy in your own archive or backup system.

Tip 2 - Share the images internally

Marketing, events and communications teams often focus on delivering their immediate goals and forget to share event images internally - especially when staff appear in the photos. Sharing these images is a simple but valuable gesture: colleagues appreciate seeing themselves and may use the photos for professional profiles.

Images also help senior managers and executives assess an event’s impact. Photos that show smiling attendees, strong turnout and a professional setup make it easier for leaders to justify investing in similar events in the future.

Tip 3 - Share the images externally

Some events require discretion, so external sharing isn’t always appropriate. However, for many events it’s a great option - attendees can receive professional-quality images at no cost.

Speakers on stage and sponsors, for example, often value images that show them presenting with a branded backdrop. Award recipients typically want photos to share with family and colleagues, so offering access is usually appreciated rather than keeping images private.

Tip 4 - Use the images across all of your channels

Most organisations only think of using images for promotion on social media. Instead, consider every channel: websites, email campaigns, internal documents, general communications, annual reports and more. Make images available to the whole team - not just marketing - so colleagues know they exist and can put them to use.

Images that feature your brand (logos, products, signage, staff in branded apparel, or on-site locations) work especially well across these channels. Branded imagery is more immediately recognisable and draws stronger attention from viewers.

Tip 5 - View AI as complimentary to your images, rather than a replacement

Everyone’s talking about AI - and while it’s changing how we work, it won’t replace the value of authentic, professionally made imagery. Use it strategically, not fearfully.

In a fast-moving tech landscape, authenticity is what helps organisations stand out. That’s why you hire a professional photographer: to capture real people, real moments, and the unique character of your brand. AI can complement those images when it makes sense - for example, to extend a campaign quickly or create a specific visual variant without the time and cost of a full reshoot.

If you choose to experiment, you can upload existing photos to an AI tool and specify the changes you need. Results vary, so treat it as a creative aid rather than a guaranteed solution. Used thoughtfully, AI can save time and broaden creative options while your core visual identity remains grounded in real, professional photography.
